Secretary / Office Adminstrator

A Private Jet Co, specialising in aircraft charter and management requires an experienced Secretary / Office Administrator for their  Malta Office based near the Airport.

Duties will include:

  • Corporate Administration Management;
  • Communicating with Transport Malta and counterpart in other locations that the company has offices;
  • Managing Office Suppliers and Vendors Contracts
  • Liaising with IT Services Suppliers and office leasers
  • Controlling import/export procedures;
  • Keeping records (company mobile phone credentials, office access cards...);
  • Greeting visitors
  • Receiving and redirecting company phone calls;
  • Registering and distribute incoming & outgoing mail;
  • Ensuring a constant supply of office supplies, stationery items, refreshments, etc.,
  • Maintaining presentable office space;
  • Giving assistance  to Operations department with record keeping, preparation and review of documents;
  • Assisting the  Accounting department with Payroll preparation and recording invoices;
  • Assisting the  HR with employment procedures;
  • Other tasks as required by the Company’s management
  • Occasionally travelling abroad to other offices to carry out any of the above

The ideal applicant will have:

  • Proven relevant experience in administration and basic accounting
  • Experience of working in an international environment
  • Experience in aviation will be considered a benefit
  • Excellent verbal and written communications skills, friendly and professional demeanour, attention to detail, organisation and time management skills, be able to work independently
  • Be Malta based
  • Be very fluent in written and spoken English
